Freight Forwarder – Ocean Projects

As an international logistics service provider, POLYTRA, belonging to the FRACHT Group, has been providing customer-oriented logistics services since 1974.

Within our very ambitious Ocean – Project department, we handle all types of “Out Of Gauge cargo” worldwide: mainly export and cross trade but also occasionally import. The type of customers & shipments is very diverse, and no day is the same within the project department. To join this team, we are looking for a motivated Freight Forwarder.

You will report to the Project Cargo department manager and will be working with a close-knit team of 4 colleagues.

Your tasks

·       Processing very diverse incoming rate requests from mainly our own Polytra project customers into quotations and working out the logistics solutions for existing customers.

·       Purchasing transport rates and negotiating with suppliers where necessary.

·       Handling bookings from A to Z and coordinating door-to-door transports with the involved parties.

·       Actively participating in various project meetings held internally and externally and reporting to customers.

·       Maintaining contact with suppliers to ensure smooth transportation of goods and documents to meet customer requirements.

·       Managing the transport file accurately and completely, and preparing the necessary transport and customs documentation.

·       Handling possible disputes with the customer to reach a solution.

·       Invoicing according to the services provided.

Your profile

·       Bachelor degree and/or logistics education with first experience in forwarding.

·       Experience with project cargo is a plus; this vacancy is also open to more experienced profiles.

·       You are a problem solver, with a passion for working with customers and an eye for detail.

·       You are always able to keep your focus and drive, even during short deadlines.

·       Proficient with Microsoft Office applications and tech-savvy. Experience with Cargo Wise is a plus

·       You are fluent, both written and spoken, in Dutch and English. Knowledge of French is a plus.

Customer Care Specialist

Customer care is one of the most important aspects of our business.  This is a great new opportunity for an enthusiastic and eager individual who has a genuine interest in customer service and wants to be an integral part of the team.  

Your tasks

·       You are the first point of contact for the customer (mostly via email)

·       You follow established procedures and guidelines (SOPs available in own database)

·       You check, send and approve shipping documents

·       You accurately verify and register customs documents

·       You coordinate and organize pre-shipments + maintain close contact with transport companies to ensure efficient and timely delivery

·       In case of problems or deviations you are a real troubleshooter and look for the best possible solution in close cooperation with the customer.

·       You are stress resistant and can deal with deadlines and busy situations

·       You follow up orders from A to Z and lead the process in the right direction.

·       You ensure adequate reporting in case of completions or escalations

 

Your profile

·       Motivation and ability to learn is more important than years of experience or degrees.

·       You are a problem solver, with a passion for working with customers and an eye for detail.

·       You are fluent, both written and spoken, in Dutch and English.

·       You are able to work independently, setting you own priorities and work well under pressure.

·       You are always able to keep your focus and drive, even during short deadlines.

·       You communicate with customers and internal employees in a professional and constructive way.

·       You know your way around MS Office. Training-on-the job will be provided for our internal software.
